Every instructor qualified, every ticket in date
The training principal carries the club's teaching standards, and this is where they hold them: who is qualified, what each of them may teach, and whether their tickets are still valid. Sail keeps the certificates as proof and watches every expiry date, so nobody discovers on a Saturday morning that the only person who can run the session has an out-of-date first aid certificate.
Your members tell you what they can teach.
Members record their own qualifications in their portal and upload the proof from a phone, and anyone with a verified instructor ticket can put themselves forward for the pool. The principal sees the teaching talent the club actually has, rather than the handful of names they happen to know about.
Supporting certificates are tracked as their own thing.
First aid, safeguarding training and powerboat tickets aren't teaching awards, but an instructor ticket isn't valid without them. Define them once, attach them to the awards that require them, and they're watched alongside the main qualification.
You hear about a renewal before it costs you a session.
A dedicated view sorts the pool into what has lapsed, what lapses within ninety days and what's safely in date. Anything expiring within thirty days also reaches the committee dashboard, so it isn't only the training principal who can see it coming.
Who can teach what, kept straight
- Keep an instructor pool: everyone on one screen with their qualifications, certificate status, junior clearance and whether they're available, filterable by category to answer the practical question, who can take a powerboat session next month
- Let instructors put themselves forward: they switch on “available to instruct” from their own portal, and switching it off marks them unavailable rather than removing them from the pool
- Define your qualifications properly: every club starts with the full RYA catalogue loaded, and for each award you set whether it expires and after how many years, what it permits the holder to teach, and what it requires them to already hold. Anything your club doesn't run is switched off
- Hold the certificate, not just the claim: an administrator views the uploaded proof and verifies it, or marks it seen in person where the club holds the paper copy, and it is stored privately rather than as a public link
- Verify before it counts: only a verified, in-date qualification opens the instructor pool, and the same standard drives the qualification checks everywhere else in Sail
- Connect to safeguarding: each instructor's record shows their junior clearance from verified DBS and safeguarding training, anyone without it is flagged when they're assigned to a course involving under-18s, and a record warns you while there's still time to renew
- Feed the work: the pool is what you pick a lead instructor from when scheduling a course, and the qualifications recorded here are the same ones a course awards on completion, so a learner who passes today becomes a verified certificate holder without anyone retyping anything
