Finance & reporting

Every pound the club takes, in one picture

Sail collects the club's money online and shows the treasurer where all of it came from. Every payment the club takes, whether a subscription, a course fee, a race entry, a day ticket, a boat park space or a hire booking, goes through the same system and rolls up into one financial picture.

The money lands in your account, not ours.

Payments go straight into the club's own connected Stripe account. And the person paying covers the card processing, so a £120 course fee is £120 to the club: you see exactly what you'll receive before you publish a price.

The committee's reports are already written.

Membership revenue, per-member lifetime value, and dedicated reports for course bookings, event bookings, day tickets, hire and boat park income. Each with a date range, each exporting to CSV or printing to PDF for the committee pack.

The treasurer sees everything; others see their part.

Finance is a permission of its own, so a treasurer gets the full picture across every section without being made a full administrator, while an officer responsible for one area sees that area's income alone.

What the treasurer stops doing by hand

  • Collect every kind of income in one place: subscriptions annual or monthly, course fees, event and race entries, day tickets, boat park fees and hire charges, all taken at the point of booking, so the money is in before the activity happens rather than chased afterwards
  • Read the year in one view: income broken down month by month and stream by stream, as a stacked chart and as a table, answering which months carry the club, how much of the income is subscriptions, and whether hire is worth the trouble
  • Chase what hasn't arrived: failed and unpaid payments are counted on the committee dashboard, so a card that bounced on renewal night is visible the next morning rather than at the year end
  • Handle refunds in the same place: one at a time, or the bulk case where cancelling an event or a course refunds every paid booking automatically
  • Know what this is and isn't: a reporting view of completed payments rather than a bookkeeping ledger, with staff costs kept on their own side, so income is never quietly netted off against spending

Who the finance reports help the most

  • Treasurer

No more assembling the finance paper from six spreadsheets the night before the meeting.

  • Commodore or Chair

No more waiting for the finance report to answer “how are we doing?”.

  • Membership Secretary

No more reconciling subscriptions by hand, and finding the failed ones at year end.

  • The whole committee

No more deciding on fees and courses without knowing what each stream actually earns.

The SailAI difference

On Club Pro, Financial Insights reads the club's own revenue figures and writes the commentary a treasurer would otherwise work up by hand: trends, how each stream is performing, seasonality, how concentrated the income is in one or two sources, and anything anomalous. It returns a short prioritised list of what is critical, where there is an opportunity and what is worth watching, each leading with a single recommended action and its reasoning if you want it. An administrator chooses which lenses and which streams it looks at, and it runs only when you ask, tells you when it last ran, and warns you when the analysis has gone stale, so the committee is never shown a confident conclusion drawn from last month's numbers.
